How it works

How it works

How Rupert turns field notes into a structured Functional Capacity Assessment, then helps you revise after planner feedback. You stay in control of what goes into the report.

1

Capture and customise

Add typed interview notes and supporting files. You can photograph handwritten notes and convert them to markdown you can edit before generating, and record browser voice notes saved as markdown.

Before you generate, Customise lets you choose which of the 17 FCA sections to include and how long each section should run (1–10 paragraphs). Save presets, copy customisation from a recent run, or upload a sample Word FCA so Rupert can infer sections and document layout. At least one section must stay enabled.

2

Check missing information

Before clinical sections are written, Rupert checks whether your sources are complete enough to draft. When they are not, you see missing, incomplete, or unclear detail.

Add what is needed, then continue. You cannot skip this check. You decide what is drafted — the gate does not write the report for you.

3

Generate the report

When the check passes, Rupert drafts the enabled FCA sections. Live progress shows status as each section finishes. Generation includes quality and consistency checks before the draft is compiled.

Preview the report in the product. Download markdown, or a Word copy. If you have a personal default customisation with document style, Word downloads can include that header, footer, and watermark.

Clinical facts stay grounded in the notes and files you provided.

4

Edit and version history

Edit the report in the same preview panel and save. That creates a new revision; the earlier version stays recoverable.

Version history is a milestone timeline for the report lineage — for example when the report was generated, when extra information was added at the completeness check, when you saved an edit, and when a planner-review revision was published. It is not a log of every keystroke.

Sources and attachments used for that report stay with the report you own.

5

Action planner feedback

After you have a finished report, you can bring in NDIS planner feedback. This step is optional — many reports end at download.

Rupert proposes scoped amendments. Turn on track-changes markup to see deletions struck through and insertions highlighted. Accept, reject, or edit each pending change, then apply only what you accept.

Planner feedback does not invent clinical facts. Applying accepted changes also produces a feedback-response document.

You remain responsible for clinical content and submissions. Rupert does not replace clinical judgement.
